The same part number can ship in days from one supplier and take months from another. Knowing why helps you plan instead of react.

Few things stall a maintenance schedule — or a drydock window — faster than waiting on a part that “should have been here already.” Lead time variability in marine procurement usually comes down to a handful of predictable factors.

Common parts vs. specialized components

Fast-moving items — filters, gaskets, standard pumps — are typically held in stock by multiple suppliers and can move quickly. Specialized components tied to a specific engine model, automation system, or older equipment often have to be manufactured or sourced from a single supplier, which is where lead times stretch from days to months.

OEM vs. aftermarket sourcing

OEM parts guarantee an exact match but can carry longer lead times if the manufacturer doesn't hold local stock. Aftermarket equivalents are sometimes available faster, but need to be checked carefully against class and warranty requirements before they're accepted as a substitute.

Freight and customs, not just manufacturing time

A part that's in stock at the supplier can still take weeks to arrive once customs clearance, port handling, and last-mile delivery to the vessel or yard are factored in — especially for cross-border shipments or ports with limited direct freight routes.

How to plan around it instead of being surprised by it

  • Keep a critical spares list for equipment where downtime has the highest cost
  • Hold safety stock for parts with a history of long or unreliable lead times
  • Confirm lead time and customs route before scheduling a drydock or maintenance window around a specific part
  • Work with a sourcing partner who can flag realistic timelines upfront, rather than an optimistic one that slips later

For time-critical or hard-to-find parts, having an established relationship with a sourcing partner — rather than starting from scratch each time — is usually what separates a manageable delay from a vessel sitting idle.
